Title: Administrative Assistant/Land Technician

ADMINISTRATIVE ASSISTANT/LAND TECHNICIAN JOB DESCRIPTION:

  • Assist Land Agents in preparation of contracts, assignments, extensions, and other applicable documents
  • Prepare general, routine correspondence for others’ signature
  • Prepare invoices
  • Record, copying and transmittal of correspondence to the client
  • Provide monthly review of calendars (obligations, rentals, expirations)
  • Complete title research and curative as directed by Land Agent
  • Generate weekly reports
  • General office administration tasks such as scanning, printing, handling incoming and outgoing mail, supplies inventory, etc.
  • Organize incoming and outgoing documents

ADMINISTRATIVE ASSISTANT/LAND TECHNICIAN QUALIFICATIONS:

  • Explain project to mineral owners, including expectations, procedures, ownership breakdowns, timing and financial arrangements;
  • Pull necessary title documents to support purchasing operations
  • Review and understand agreement packets and other necessary documents related to transaction

  • A Bachelor's degree and/or a minimum of one year experience in lease acquisition and/or real estate purchasing
  • Must have an active Ohio real estate license in good standing;

  • Conduct comprehensive research of county records to establish surface and mineral ownership, while also verifying property title and leasehold ownership;
  • Analyze research to determine necessary information for management and client review;
  • Compile run sheets and/or abstracts, mineral ownership reports, flowcharts, and additional files to convey research findings;
  • Perform HBP title examination;
  • Track expirations;
  • Meet strict deadlines and balance multiple project priorities;

LAND AGENT - TITLE EXAMINER/ABSTRACTOR QUALIFICATIONS:

Title: Title Document Assistant

GENERAL NARRATIVE DESCRIPTION OF POSITION

A Title Document Assistant, or Document Manager, will be responsible for maintaining organized and updated documents for various departments. Their duties include using document management software to upload or scan paper documents, retrieving documents for authorized personnel and ensuring document storage to comply with laws and regulations. They will also be responsible for traveling to county courthouses, attorney offices and any other necessary offices to retrieve or record legal documents.

ESSENTIAL JOB FUNCTIONS & RESPONSIBILITIES

  • Print and distribute documents as needed
  • Scan images, send and receive documents, organize paper and electronic files, and analyze the efficiency of communication processes.
  • Review and update documents for quality control
  • Handle records across various departments
  • Maintain confidentiality regarding sensitive documents
  • Pull or obtain documents from courthouses, county offices or other offices as needed
  • Data entry
  • Maintain, with relative independence, a significant phase or segment of a clerical process or office activity and make frequent decisions in accordance with agency policies, rules, or procedures

Travel:

The Title Document Assistant, or Document Manager will be required to travel multiple days a week and will be compensation for an allotted amount of mileage.
